Borrowing Books

Loyola students, faculty and staff with currently valid barcoded IDs may borrow materials and use other library services at the Lakeside Libraries (Cudahy and Lewis Libraries). Students, faculty, and staff of the University of Illinois Chicago and the Hebrew Theological College; and Faculty and administrators of DePaul University may also borrow materials.

 

Alumni of Loyola University may apply at the Circulation Desk for library privileges. You must bring your Alumni card, which is issued by the Alumni office. You can apply for the card online.

 

Borrowing privileges are determined by patron group. Materials from the general collection of the Lakeside Libraries circulate as follows:

  • Faculty, Administration Materials will be due on June 15 of the current academic year.
  • Graduate Students Materials will be given a three month loan period.
  • Undergraduates/Staff/Courtesy Patrons Materials will be charged for a 28 day loan period. Undergraduate IDs are valid only during semesters in which the student is registered for courses.
  • Some items, including government documents, periodicals, newspapers, reference items, microforms, archives, rare books, and maps, do not circulate and must be used in the library.

Borrowing Audiovisual Items

  • Materials from the Audiovisual Collection (videos and DVDs) can be checked out for one or three days, except for "room use" materials which can be checked out for 6 hours.
  • Music CDs can be checked out for seven days

Renewing Books

General collection materials may be renewed as often as needed, provided they are not overdue and no one has placed a recall on the items. Materials may be renewed online through the Pegasus catalog. To renew books, log in to the Patron Information screen in Pegasus. Materials may also be renewed in person at one of the libraries' circulation desks. Although the books need not be brought in to renew, a valid ID must be presented at the time of renewal. Materials may not be renewed by phone. Cudahy and Lewis materials can be renewed at either of these libraries.


Recalls

Materials may be recalled after they have been charged to a patron for two weeks. When an item has been recalled the patron is notified of the new due date by mail. The patron who placed the recall will be notified by mail when the item has been returned. Materials will be held for 10 days before being reshelved. Materials will be recalled immediately if needed for Reserves. Recall request forms are available at the Circulation Desks or a recall may be sent electronically.


Searches

Books that are not on the shelf and not charged out may be requested through the search process. If the book is found during the search process, it will be placed on the hold shelf and the patron will be notified by mail. If the book is not found after seven days the patron is advised to use the interlibrary loan service. Search request forms are available at the Circulation Desks or searches may be requested electronically.


New Materials Request

The new materials request service is available to all Loyola faculty staff, and students. Titles requested are assigned a temporary control number with the status:

  • "IN PROCESS" materials have been received by the libraries, but are awaiting processing. The patron's request will be dealt with promptly. The materials will be available in 7 days at Cudahy; 1 or 2 additional days for other locations.
  • "ON ORDER, NOT YET RECEIVED" have not yet been received by the libraries. It may take 4 to 8 weeks before these materials are received. When the materials arrive, they will be processed in 7 days. Loyola patrons will be notified when the materials arrive at the home library.

New materials request forms are available at the Circulation Desks or new materials may be requested electronically.

 

Fines, Lost Materials

Fines are $.25 a day per book, for overdue books. Overdue recall fines are $.25 a day after the recall due date and $.50 per day for each day after the original due date. The maximum fine per item is $5. The charge for a lost item will consist of the current replacement cost of the lost material plus a non-refundable $15 processing fee. Books not currently in print will be assessed a $50 replacement cost plus the $15 processing fee.


Reserves

Course materials that Loyola Faculty have placed on reserve are kept in the Circulation Department at the campus library where the class is taught. Reserve materials are listed in Pegasus, the Library Online Catalog, arranged alphabetically by the instructor's name. There are four categories of reserve materials:

1. 2-Hour: materials may be used for a 2 hr period and may not be removed from the library.
2. Room-use: materials may be used for up to one day but may not be removed from the library.
3. 3-day: materials may be charged for a 3 day period.
4. 7-day: materials may be charged for a 7 day period.

A currently valid barcoded Loyola ID is required to charge out reserve materials. Reserve materials may not be renewed. The fines for overdue reserve materials are: $.05 a minute for 2-hour reserves and $2.50 per day for Room-use, 3-day, and 7-day reserves. Intercampus Loan

Books and periodical articles housed at one of the other Loyola campuses may be requested through intercampus loan service. Loyola faculty, students, staff and alumni may use this service. Requests are sent daily to the other Loyola libraries, and if available, materials will be delivered within 48 hours or two working days (Monday-Friday.) Intercampus loan forms for books are available at the Circulation Desk and should be submitted only at the patron's "home" library. Intercampus loan request forms for books are also available electronically. Patrons will be notified by email when ICL materials have arrived at their home library.

Requests for Intercampus loan periodical articles and book chapters (with a limit of 50 pages) can be submitted using ILLiad. Articles and book chapters will be delivered online to the patron through Online Document Delivery. There may be exceptions due to the quality of the photocopy that the periodical request will need to be picked up at the patron’s home library.
Alumni are limited to 25 periodical article requests a calendar year. Alumni are not eligible for Online Document Delivery. Forms for Intercampus loan periodical articles and book chapters (with a limit of 50 pages) are available electronically.
There is no intercampus loan between libraries located on the same campus. In order to serve all of our patrons the ICL office reserves the right to limit the number of ICL requests processed to seven (7) per day total (book and periodical) from any one patron. Please prioritize your requests accordingly.
Most materials housed at the Law and Health Sciences' Libraries will be charged for two week loan periods. Health Sciences materials may be renewed twice.

 

Requesting Books from the Library Storage Facility

When searching Pegasus, the online catalog for the Loyola University Libraries, you may see a location called Library Storage Facility (LSF). This is where items from the Lakeshore Campus libraries that were not in active circulation for the last 15 years are now located. If Cudahy is your home library, these items may be requested by filling out the electronic request form Requesting a Book From the Library Storage Facility. This form is available, along with other request forms, from the link "online forms" on the Libraries home page. Requests submitted by 9 am will normally be filled by 5 pm the next business day. If your home library is not Cudahy, please allow additional time to have the book sent to your campus. You will receive a notice when the book is ready to be picked up at your home library. All users should remember to include their Loyola barcode number which can be found on the back of the Loyola picture ID card.
