The main reservation desk for Audiovisual Services is located at Cudahy Library on the Lake Shore Campus. The office is open Monday - Friday 8:30 a.m. - 5:00 p.m. Requests are processed between the hours of 8:30 a.m. - 4:00 p.m. daily. Any order placed after 4:00 p.m. will be processed the following business day. Any orders placed after 4:00 p.m. on Friday will be available Wednesday of the following week.

Due to the circulation of materials between the campuses please allow 2-4 business days to process any requests for Loyola-owned materials.

Mission Statement

The Audiovisual collection is a specialized department for non-print resources intended to support the curriculum and teaching needs of the faculty; to supplement the academic research needs of scholars; and to provide cultural awareness and enrichment for students.

 

Overview

The AV materials collection consists of videotapes, DVDs, slides, CDs, cassette recordings and 16mm films which have been selected for supporting the higher educational curriculum at Loyola University Chicago. These materials are available free of charge for classroom, research and other instructional uses by Loyola faculty, students, and staff.

 

Use of Materials

All materials in the collection are owned by the University under restrictive license agreements and copyright law; They cannot be duplicated, altered, televised, used for non-academic purposes, or circulated off campus. Faculty and Graduate Students may check out any title in the collection. There are a limited number of titles that may be checked out by undergraduates and staff, but due to some of the agreements some titles are restricted to library use only. Courtesy and alumni patrons may view any of these materials within the libraries.

No materials in the collection may be used for the purpose of entertainment unless a Public Performance license has been obtained.

 

The Collection and Viewing Facilities

The AV Department houses a collection of over 7,719 titles in VHS, Laserdisc, DVD, CD, 16 mm films, slide sets and Multimedia formats. Many subject area are represented within the collection and are divided and housed by subject matter within the various Libraries of the university. They are divided as follows:

Business, Social Work, Education, Criminal Justice, Communications, Human Resources, and Organizational Development

 

To locate any title in the VHS, DVD, CD or Multimedia formats check Pegasus (the online catalog) or the AV List located on the Library home page. If you are in need of assistance in identifying titles please consult the Reference staff. For a list of 16 mm films, and slide sets please call the AV office at 773-508-2666.

The libraries are equipped with viewing stations for use with VHS, DVD, and CD formats and are available on a first come first serve basis. Although the libraries would like to support viewing for all formats, space is limited and arrangement for viewing 16mm films and slide sets must be made in advance through the Information Services Department at Ext. 44444 or 773-508-7190.

 

Core & Non-Core Materials

Core materials have limited loan periods due to contractual agreements, high volume use by certain departments, cost or because the materials have become out of print. Faculty and Graduate students may use these materials outside of the library for academic purposes connected to Loyola University Chicago. Undergraduate students, staff, alumni and patrons who have a courtesy library card from Loyola may use the materials in the library.

 

Non-Core materials may be checked out to Faculty, Graduate students, Undergraduate students and staff. Alumni and patrons who have a courtesy library card from Loyola may use these materials in the library for academic purposes.


No materials may be used at other universities, schools, or places that do not have a legal established connection to Loyola University Chicago programs.

 

Locating Materials

  • Enter the Pegasus catalog
  • Go to Advanced Search
  • Enter your search words in the "Search for" box.
  • Indicate how Pegasus should search for the search words by choosing one of the following from the drop down menu:
    • all of these - retrieves records containing all of the search words;
    • any of these - retrieves records containing any of the search words;
    • as a phrase - retrieves records containing the search words in exact order.
  • Indicate a field in which to find your search terms using the Search In drop down menu.
  • Combine Search for boxes by choosing AND, OR, or NOT
  • Enter the word "videorecording" in the second Search for box. This will list any visual materials in the library collection that match your search criteria.

Loan Period

Check-out for audiovisual materials are dependent on patron status and item type. In general, the following loan periods are applied:

To avoid overdue fines Graduate students who are teaching are encouraged to obtain a Faculty card before they are eligible to borrow videos using the status of a faculty.

Undergraduate students who want to use a "CORE" video for a class presentation must obtain their professor's signature first. Print out a copy of the web form, fill in the form, and get your professor's signature. Turn the form in at one of the circulation desks at least 2 days in advance of the day of your presentation.

A fine of $5.00 per day will be charged for overdue materials. Replacement cost and a processing fee will be charged for damaged or lost materials.


Requesting & Scheduling Materials

  • Requests are processed between the hours of 8:30 a.m. - 4:00 p.m. daily.
  • Any order placed after 4:00 p.m. will be processed the following business day.
  • Any orders placed after 4:00 p.m. on Friday will be available Wednesday of the following week regardless of its location.
  • Send an e-mail request to AV Services.
  • Complete our Web form: faculty requests or student requests

  • Fax your order 773-508-2993.
  • Fill out a paper form at any of the library request tables.

Faculty Making a Request

Because AV material requests are filled on a first-come, first-serve basis, and due to the high demand, faculty are strongly encouraged to reserve the titles they will need for class use at the beginning of each semester. This will avoid disappointment if the materials are not available and give Faculty time to reschedule the title if it becomes necessary. Class syllabi may be turned into the AV office in advance to ensure that titles needed for specific dates will be ready for pickup. If you are not able to place your order that far in advance, please make your request at least 2-4 business days in advance of the actual use date. All requests will be confirmed by e-mail to your Loyola e-mail account only. Requests are accepted via telephone at 773-508-2666, by filling out a request form available in all libraries, or through our on-line forms.

Students Making a Request

Students are allowed to view any program missed in class and also may use materials in the collection for independent study. It is best for students to request materials at least 2-4 business days in advance to ensure that the program is available. Core materials must be viewed in the library and may be checked out only for class presentations, but a faculty member must okay this in advance, either by phone, or by signing the Undergraduate request form. All material requests will be confirmed by e-mail to your Loyola e-mail account only. Requests are accepted via telephone at 773-508-2666, by filling out a request form located in all libraries, or through our on-line forms.

 

Picking Up Materials

Materials are available for pickup on the "use" date that they are requested. The library usually owns only one copy of each title in the collection and relies on patrons to return borrowed items promptly so that materials are available for others. Many titles in the collection are heavily used throughout the university and will only be available for a certain time. Any item that is not picked up within 24 hours of the scheduled pickup date will be re-shelved (which may result in the materials being returned to the home library) and must be rescheduled for use. Circulation Policies

    • Patrons need to have a valid Loyola University ID.
    • Videos may not be copied without the permission of the copyright holder.
    • AV materials cannot be returned in the book drops.
    • If you return the videos at the Circulation Desk, leave your name along with the materials to ensure your account is credited correctly.
    • Videos that have been placed on reserve for class by a Professor must be viewed in the library. A valid student ID must be presented at the time of the request.
    • If a Professor would like to use any materials for class that have been placed on reserve they must call the AV Office 24 hours in advance of the use date to ensure that they are available.
    • Patron is responsible for any damages to materials.
    • AV materials can be rescheduled. They must be brought back into the AV department to check for availability and re-booking..

     

Rush Order Policy

Due to a noted serious need for Loyola owned videos we have instituted a Rush Order Policy.

Rush requests must be made in person or via phone only with an AV staff member.

 

Rush requests are accepted Monday to Friday from 8:30 a.m. until 4:00 p.m. only. If you need a video by 12 Noon, you must order it by 11:00 a.m.

  • For requests received after 11:00 a.m., videos will be available after 5:00 p.m. the same day.
  • Rush orders are subject to the availability of the material due to prior bookings.

Faculty Privileges for Graduate Assistants

Faculty authorization enables graduate students and staff members to assist faculty members with their research by checking out materials on behalf of the faculty member. A Proxy Authorization form may be completed at the Circulation Desk of either library. Faculty members are responsible for all materials checked out by authorized individuals. When requesting materials in this manner please provide the assistant's name and barcode number.

 

Faculty Rentals From Off-Campus Vendors (Classroom Use Only)

Because the Video Library cannot possibly carry all titles needed for instruction, our staff will make all arrangements to rent films, videos, and DVDs from off-campus vendors across the county. Loyola faculty may request that AV materials be rented for classroom use only. There is no charge to departments. An advance notice of at least 10 to 15 business days is required because this service involves working with outside sources. Use the Faculty Request Form to initiate a rental.

Faculty Preview of Audiovisual Materials

(These materials may not be used for Classroom showings)

Faculty members may evaluate AV material for purchase consideration. Preview material are sent from distributors, upon availability, and cannot be requested for a specific date. Please note that previews are scheduled after all purchase and rental requests have been processed. Use the Faculty Request Form to initiate a preview request.

Purchasing

Materials are purchased for the collection on an ongoing basis in order to keep the collection current. Loyola faculty members are encouraged to make suggestions for material that they believe would be useful in their teaching or that will be helpful to their students' independent study. Please fill out the AV Purchase Request form. If you are requesting materials for use in a class for specific date, please make sure that this information is included on the form. Placing Materials on Reserve (Library Use Only)

AV Reserves provide maximum access to the collection by limiting the circulation period for specific class use. Faculty may request that certain materials be placed on reserve for class assignments. These materials are placed on reserve for the semester.

To place materials on reserve submit an AV Materials Reserve form at the Circulation Desk. This is not the same procedure as making a request for AV titles to show in class. AV materials placed on course reserve will be available at the circulation desk on a first-come, first-served basis. No individual reservations will be taken.

Viewing Rooms / Facilities

The libraries have limited facilities to accommodate viewing of VHS, DVD and CD formats. These facilities are available on a first come-first serve basis. Although the libraries would like to support viewing for all formats space is limited and arrangement for viewing 16mm films and slide sets must be made in advance through the Information Services Department
