 RefWorks - Importing Data From Saved Text Files

Ref Works: What is RefWorks?

Refworks is a citation management program, made available to all Loyola students, faculty, and staff. RefWorks allows you to collect, store, and organize citations from books, articles, web sites and other sources. It automatically converts citations into several different format styles, including MLA, APA and Chicago Style.

In addition, you can search Pegasus, Loyola's online catalog from within Refworks. Citations from other bibliographic management systems such as Endnote and Reference Manager can be transferred to RefWorks. RefWorks is especially convenient, as all of the information is stored online, and can be accessed from any computer hooked up to the internet.

RefWorks also offers users the ability to set up multiple accounts. This can be used to share citations for group or research projects, creating reading lists for classes, or collaborations.

Importing to Refworks

There are three ways to import citations in your RW database:

  • Direct import
  • Manual import
  • Text file import

Organizing and searching your database:

  • You can create as many folders as you want to, by default all citations will be imported in the last imported folder.
  • Be sure to check the citations not in a folder by using the folder tab and View folders

Click on the Search button to:

  • Search for an author or the title of a citation of a descriptor.
  • Click on Search online catalog or database
  • If it is not selected yet pick Loyola University Chicago
  • Start searching Pegasus. It is easier to import citations that way!

Creating bibliographies and in text citations:

  • When you are ready to create the reference list click on the Bibliography tab
  • Select the correct output style from the list
  • Click the radio button Format a Bibliography from a List of References
  • Select the file type (probably Word)
  • Choose if you want your entire database or just citations from some folders
  • Click on Create Bibliography

Exporting to Refworks from research databases:

From OVID databases (PsychInfo, Medline, etc.):

  • Select one or more record(s)
  • Scroll down to the results manager (at the very bottom of the page) Result Format
  • Click the save icon
  • Select Export results to Refworks

From EBSCO databases (ERIC, Academic Search Premier, Business Source Elite):

  • Put your item(s) in a folder
  • Click the folder has items link
  • Click the export button
  • Click the Direct Export to RefWorks button
  • Click the save button

From FirstSearch databases (Wilson Select, WorldCat etc.):

  • Click the export button from within a record or a list of record
  • Select the Refworks radio button
  • Hit Export

From CSA databases (ERIC, Sociological Abstracts, etc):

  • After you perform a search, the Refworks link will display above the first article.
  • Mark the items you want.
  • Click it then click Export to Refworks.

From Proquest databases (Education Complete, Criminal Justice Periodicals, Chicago Tribune etc, no direct export available from Dissertation Abstracts):

  • Mark the item(s) you want to export
  • Click on the Marked Items in the My Research tab
  • Click on Export citations
  • Click on Export directly to RefWorks

From ABC Clio (America History and Life, Historical Abstracts):

  • Tag the items you want to export
  • Click on Export Options on the left side of the screen
  • Select the RefWorks Export radio button and Click on the Submit bar.

Importing Data From Saved Text Files

References can be imported into RefWorks from a text file created by saving references from a Database Service. You would use this option if the database that contains the citation does not have a direct export function, and the database name can be found on the list of 'Supported Databases' (see Supported Databases).

       

  1. Save or copy the references from the database. Most databases offer more than one way to save the information (ex: brief record or full record), so it is important to test and see which format is needed for each database.
    *Note: it is very important that you make sure to save the information correctly. For example, if you save only the brief record from Pegasus, you will not have all of the information that should be included in the citation. You need to make sure to include the Full Record information.
  2. From the References menu select Import.
  3. Select the Import Filter/Data Source that matches the data you saved.
    For example, if you saved references from a search you did on a CSA database, select the CSA Import Filter.
    *Note: to add data from Pegasus (the Libraries online catalog), set the Import Filter/ Data Source to Endeavor Voyager, and Database to Loyola University Chicago.

    Another option is to do a search through RefWorks in Pegasus. This is done by going selecting Search Online Catalog or Databases from the Tools menu. You can then perform searches, and specify the number of files you would like to have imported at one time.

           

  4. Select the specific database from which you saved references. For example, if you searched the CSA Sociological Abstracts database, you would select CSA as your Import Filter/Data Source and Sociological Abstracts as your Database. Some Import Filters have as an option. With this option, it is possible to import data from searches you have performed across multiple databases from the same service. If available, multiple databases is always the first option in the Database list.
  5. To have the references imported into a specific folder, select the folder from the Import References Into list. For example, if you want to keep all references together from several imports to edit later, you should create a folder for this purpose.
    *Note: References are always imported into the Last Imported folder. References from the previous import are removed from the folder automatically. When you have completed an import, you can open this folder to globally edit or add data to the group before organizing them into folders.
  6. Select the text file you created when saving your search results. To help organize your data, you may want to create a separate folder under your My Documents folder called Download Results. If you always use this folder, it will be easy to find the appropriate file when importing.
    • If you have a number of references to import, select Import Data from the following Text File and use the Browse button to locate the file.
    • If you only have one or two references to import, copy the data into the Import Data into the following Text box.
  7. Click the Import button to import the data. Progress is shown by one * for each reference. The program tells you when the import is complete.
  8. To view the import log, select View Log.
    The import process creates a log file containing information on the status of the import. The log file shows information like data that was not imported and data that was imported into the notes field. In general, if you used the correct Import Filter, the import brings in all of the information and places it in the appropriate fields for each reference type.

Creating a Bibliography

In RefWorks you can create a bibliography from a list of references, without creating a document. This reference list may contain your entire database, the references in your My List area or you can select a specific folder from which to create the bibliography.

Formatting a Bibliography from a List of References

You can use the Bibliography area of RefWorks to preview your finished list of references, or simply generate a list to copy and paste into your document, in your desired style

To create a bibliography from a specific folder or the entire database:

  1. Click the Bibliography menu
  2. Under Output Style, select the appropriate style.
    *Note: RefWorks will store the last 10 output styles you have used to generate a reference list or bibliography at the top of the output-style drop-down for easy access.
  3. Click Format a Bibliography from a List of References
  4. Under File Type, select the file format you wish to create (Text, HTML, RTF (Rich Text), Word for Windows (2000 or later, or Word for Mac (98 or later) or OpenOffice (.odt).
  5. Under Include, select All References, My List or References from
  6. Click Create Bibliography.
    *Note: When generating a Reference List from the Bibliography area, the final output is sorted based on the output style you have chosen. If the output style is based on the order cited in a document, since there is no document, it defaults to alphabetical by first author.
  7. Follow your browser's instructions for viewing the file and be sure to save the document to your hard disk before closing.

Creating a Reference List Using the Print Feature

The Print button, located within each folder, allows you to create a reference list without having to have your references in the same folder.

To create a reference list from search results or from a View:

  1. Locate your references to print (by Searching within RefWorks or selecting View, All References or View, Folder and a specific folder).
  2. Determine the sort order for your list from the Sort By dropdown menu.

  3. Select the specific reference(s) by clicking on the check box to the left of the Ref ID. You can also select Page or All in List.
    *Note: Selected references must all be on the same page before printing. Determine your sort order first. RefWorks displays 25 records per page, so if you need more than 25 references, we suggest using All in List and manually removing the records you do not need.
  4. Click on the Print button located at either the top or bottom of the screen.
  5. Select the appropriate Output Style and click Print. References will print in the sort order determined in your view and will override the output style sort order.
  6. Follow your browser's instructions for viewing the file and be sure to save the document to your hard disk before closing.
  7. You can preview your list of references or copy and paste them into a document.

Email it: After the bibliography is created you may also email it. The email address in your RefWorks account is automatically entered, but you can overwrite it with another address. Only one email address can be entered.

What happens to my account when I leave Loyola?

Users may either set up an individual account with RefWorks, or they can export the entire database in a format that is compatible with other bibliographic software (ex: Endnote, Reference Manager, ProCite, etc.).
